Portfolios
Portfolios are custom collections of projects. They let you see strategy, risk, and performance in one place — rolling up progress, resources, budgets, sustainability, and stakeholder sentiment across multiple initiatives.
What is a Portfolio?
A portfolio can include any projects you have access to. They are ideal for grouping by:
- Department (e.g., IT, Construction, Nonprofit Programs)
- Region (e.g., all projects in British Columbia)
- Strategy (e.g., ESG initiatives, grant-funded projects)
Each portfolio generates an interactive dashboard, giving you both a high-level summary and drill-down access to project details.
At a Glance Metrics
The At a Glance block consolidates live data from all projects in the portfolio:
- Earliest Start / Latest End — shows the overall time horizon of your portfolio.
- Workflows — counts of basic and advanced workflows. Multiple advanced workflows = higher complexity.
- Budget Totals — total, largest, and smallest project budgets. Useful for financial exposure and variance tracking.
- Risks — average risk score across all projects. Weighted by severity if configured.
- Roles & Subscribers — measures stakeholder engagement. Higher counts = broader involvement.
- Comments & Lessons — knowledge-sharing across projects, rolled up for quick review.
- Visitors — analytics on portfolio page engagement (how many people are looking at the data).
These metrics provide a quick health check and help spot trends across projects without opening them individually.
Portfolio Analytics
Portfolios don’t just aggregate data — they reveal patterns:
- Trends — see whether risk, budget, or ESG scores are improving or declining over time.
- Comparisons — identify which projects are consuming the most budget or generating the most sentiment.
- Engagement — track partner promotions, QR scans, and visitor counts to measure stakeholder reach.
- Cross-cutting Insights — view portfolio-level rollups for sustainability, resources, or timelines to guide strategic decisions.
Portfolio Summary Page
Each portfolio page includes:
Portfolio Overview
Custom description of what the portfolio tracks.
Geographic Scope
Interactive map showing project locations within the portfolio.
Projects Summary
Status breakdown across projects: Active, Completed, Missing Dates, or Not Started.
Sustainability Snapshot
Rollup of ESG metrics across all portfolio projects.
Stakeholder Sentiment
Aggregated sentiment data captured from QR scans and online engagement.
Engagement Tools
- Partner Promotion — show sponsor or partner content.
- Scan to Engage — QR code for visitors to open the portfolio online and provide feedback.
Automation with Triggers
Triggers let portfolios react automatically when key conditions change:
- If a project exceeds budget, alert finance or leadership.
- If average risk climbs above threshold, notify the PMO.
- If ESG metrics drop, send a summary report to sustainability officers.
This ensures leaders stay ahead of problems instead of reacting too late.
Best Practices
- Use At a Glance for weekly health checks across budgets, risks, and timelines.
- Review Sustainability Snapshot monthly for ESG reporting.
- Enable triggers to automate alerts for high-risk or high-impact changes.
- Encourage stakeholders to use Scan to Engage for feedback and transparency.
- Compare multiple portfolios to understand which areas of the business are strongest or most at risk.
Portfolios combine data, context, and automation to give leaders true oversight at scale.
